This notice covers the ChatOptiq website, demonstration requests and the current product build. Organisation-specific platform terms and data-processing arrangements will apply before sensitive operational use.
Website and enquiries
Information we collect now.
When you request a demonstration or contact ChatOptiq, we collect the details you provide, such as your name, work email, organisation, area of interest and message. Please do not include client, participant, employee or case-identifying information in a website enquiry.
Why we use it
We use enquiry information to respond, understand the requested workflow, arrange a demonstration, keep a record of the request and protect the service from misuse. We do not sell enquiry information.
Contact permission
The form asks you to confirm that ChatOptiq may contact you about the request. You can ask us to stop contacting you at any time.
Storage and service providers
Information may be processed by approved hosting, communications and technology providers that help operate the service. Access should be limited to authorised purposes.

Purpose and scope
Conversation processing should be tied to a defined purpose, visible consent state and authorised scope.
AI Assist-enabled chats
Where consent is recorded, ChatOptiq can assist the assigned professional to organise an authorised typed conversation for accuracy and efficiency. The chat remains a governed record, and the relevant privacy policy, retention settings and access controls still apply.
Access
Signing in identifies a user but does not grant case access. Organisation membership, role and assignment must also be confirmed.
Retention
Retention and deletion settings will be governed by the relevant organisation, use case, contract and applicable obligations.
Individual requests
Requests to access, correct or delete information will be handled according to the relevant product status, organisation and applicable requirements.
Security incidents
Production operations will require documented access controls, monitoring, incident response and notification procedures.
Participant visibility
The participant does not receive the professional’s assistance layer.
An invited participant can see their own authorised chat, the visible AI Assist-enabled status, their consent choices and items the professional deliberately shares. They do not see private professional notes, internal tags, organisation analytics, unshared AI suggestions, package matches, offers or website links surfaced for the professional's review.
ChatOptiq does not automatically make, send or share a recommendation. A professional must review a source-linked suggestion and make a permitted human decision before anything is shared with an invitee.
